Payroll Specialist
Payroll Specialists provide, coordinate, and consolidate all necessary data in order to process payroll in a timely and accurate manner following legal and company standards. They participate in the analysis, preparation, and maintenance of payroll. Ensure that the preparation and distribution of payroll complies with established schedules, compile and calculate payroll data, investigate and resolve errors in payroll processing, and have a working knowledge of the Company's policies and procedures related to payroll, timekeeping, audit, and accounting.
Key Performance Objectives
1. Coordinate, process, and reconcile payroll and timekeeping data to ensure accurate and timely payroll delivery. Accurate and on-time delivery metrics should exceed 99%. This includes coordinating customer requests, running and reviewing reports, spot checking data, validating calculations, performing reconciliations and other tasks as required to ensure accuracy and data integrity. Work tasks must be prioritized and acted on quickly to ensure timely payroll runs with minimum errors. (Data analysis, attention to detail, technical knowledge, Payroll process knowledge.)
2. Delivers consistent high quality customer service. Responds to all payroll and accounting requests within the established time frames. Maintains a positive, respectful and caring attitude when working with others. Communicates problems clearly and reassure customers that issues will be resolved quickly and delivers with minimum long term impact. Proactively shares all issues with management. Take personal responsibility for resolving problems and finding solutions. (Friendly, helpful, results orientation, accountability, diplomacy, customer focus)
3. Escalates payroll, timekeeping, accounting and system issues as appropriate. Clearly identifies issues including the scope of the problem and relative urgency. Provides clear documentation of the issue to the appropriate team. Answers questions and assists in isolating the root cause of problems. Participates in testing solutions to ensure problems have been resolved. (Analysis and problem solving, system troubleshooting, judgment, communication)
4. Become a payroll, timekeeping, accounting and system expert. This includes basic knowledge of payroll, timekeeping and accounting practices and policies and having a thorough understanding of the systems that support those functions. The ability to troubleshoot issues as well as fully understand the 'big picture' of where payroll data originates and how the data is entered and accounted for in the system. Analyzes data to uncover and report issues that will impact payroll processing. Act as a subject matter expert to business partners with regard to payroll and systems. 5. Assists in testing and implementing system changes. Understands system changes and the impact of the changes. Tests the system to ensure system and data integrity. Reports back on test results. (Observation, data analysis, validation)
6. Trains business partners in the use of timekeeping systems. Payroll Specialists may be asked to train employees in orientation sessions and business partners in one-on-one instruction. Clearly explain their role as Payroll Specialists, communicate the importance of using systems correctly, and demonstrate how to enter information and make system changes. (Training, coaching)
7. Ensure compliance with Sarbanes-Oxley and established business controls. Ensure that all controls are performed, documentation and reporting is accurate, timely and securely retained. Prepares for audits by preparing appropriate reports and retaining reports as specified. (Compliance, organization, attention to detail)
8. Prepares reconciliations, written summaries, analyzes payroll data to ensure accuracy, completeness and compliance. Works with other departments to ensure delivery of timely and accurate information. Assists in the preparation of periodic audit files and analysis. Participates in and responds to internal and external payroll audits. (Accounting requirements, analysis and problem solving)
Basic Qualifications
- Knowledge of Kronos, Oracle HR, payroll and general ledger systems
- Demonstrated quantitative and analytical skills
- Technical aptitude - ability to learn, troubleshoot and understand technical problems
- Great interpersonal skills in dealing with a diverse population
- Able to respect and ensure strict confidentiality of employee and payroll data. High level of integrity and judgment
- Proficient in English, both written and verbal
- Proficient in Microsoft products and tools
- Expert in Sarbanes Oxley rules and regulations
- Demonstrated multi-tasking capability and proven success in a fast paced environment
Preferred Qualifications
- Working knowledge of Oracle HR, Kronos, payroll and financial systems
- Complete understanding of Sarbanes-Oxley and other generally accepted business controls
- Payroll certification
- Experience in operating local and/or international payrolls
- Ability to handle multiple projects, meet deadlines, and lead special projects.
- Bachelor's Degree in Accounting or related field or comparable degree.
- 1 to 2 years of experience processing payroll for a large multinational organizations
